The Challenge

Fractional Strategic and Technical Operations Teams
The Robert Madigan Company (TRMC) started in 2021 with a group of physicians and recruiters. They lacked technical and operations team members and needed a technical operations team to help them strategize and build their tech stack and systems. Revvy worked with them from the ground up to create a tech stack capable of helping them achieve their vision and goals.

Lack of a centralized Applicant Tracking System (ATS)
TRMC needed an ATS solution and was between purchasing a new product and integrating it into its tech stack or building an in-house ATS. Ultimately, the decision was made to build an in-house ATS leveraging HubSpot, and they needed a technical partner to strategize and build it.

Time-consuming credentialing and onboarding processes
Credentialing and onboarding physicians with hospitals and health systems is a time-consuming and tedious process. TRMC needed a solution to help manage and automate this process.

Lack of streamlined process to intake, screen, and create profiles of candidates
TRMC needed a streamlined way to intake and screen new candidates and build profiles that could be searched when new opportunities arose.

Lead generation tools not integrated with HubSpot or tech stack
TRMC used a variety of lead generation platforms including, ZoomInfo, Lusha, Meta, LinkedIn, DocCafe, and others, to find both new clients (hospitals, health systems, practices, etc.) and new candidates (physicians, nurses, etc.). These tools were not integrated into HubSpot or their tech stack.

Absence of a robust communication system for managing candidate and client conversations and marketing
TRMC needed communication tools like calling and SMS solutions, call routing, email and email marketing, and these solutions needed to integrate seamlessly into HubSpot and their systems.

The Solution

HubSpot CRM Implementation
TRMC needed one, centralized system to manage its customers (both its hospital and practice clients to its applicants and candidates). The tool needed to provide a 360 degree view of each customer and every engagement. TRMC chose the HubSpot CRM and Revvy to implement HubSpot and onboard its team. We took TRMC through our discovery and requirement gathering process, developed a prioritized roadmap, and ultimately implemented and onboarded the team into HubSpot. Additionally, all of the below solutions were built into HubSpot as we made it the primary command center of TRMC’s business.

Physician Intake, Screening, and Profile Creation
Revvy built an automated and streamlined new candidate intake process that enabled TRMC to gather information during screening calls and build candidate profiles. This enabled recruiters to quickly intake and access comprehensive candidate profiles for future opportunities and find strong fit candidates.

Applicant Tracking System (ATS)
TRMC chose an in-house ATS leveraging HubSpot because it was more affordable, required less setup and implementation services, enabled TRMC to manage all of its sales, marketing, and recruiting processes within one system. Revvy worked with the team to define requirements, and we ultimately created a centralized ATS to manage and track applicants, automate the process, and build reporting and dashboards off of it.

Credentialing and Onboarding Process
Revvy worked closely with the TRMC credentialing and onboarding team to build an efficient and automated credentialing and onboarding system into HubSpot. We integrated their contract and e-signature tool, PandaDoc, provided a credentialing intake process, used automation to send communications and alert teams when to complete tasks, and built robust dashboards to track the status of each credentialing and onboarding task. This significantly streamlined and reduced the time required to credential and onboard candidates and ensured consistency throughout a complex process.

Integration with LinkedIn, ZoomInfo, and Social Media Platforms 
TRMC used a variety of lead generation tools including, ZoomInfo, Lusha, Meta, LinkedIn, DocCafe, and others, to find both new clients (hospitals, health systems, practices, etc) and new candidates (physicians, nurses, etc). Each of these tools was integrated with HubSpot. The result was an automated lead creation and intake process with attribution around lead sources and marketing campaigns.

Aircall and Call Center Implementation 
TRMC needed a calling solution that provided call center, call routing, and SMS functionality. Revvy worked with TRMC to identify the best solution, Aircall, and implement it. As part of this effort, we built a call center, onboarded each recruiter, and set up call routing and SMS tools.

Email Marketing 
Email marketing was used to target both prospective hospitals and practices as well as engage candidates with new opportunities. We developed targeted email marketing campaigns using personalized content and automated sequences. These campaigns improved engagement and conversions while aligning with the firm’s broader recruitment strategy.
